Allteck – Electronic Timesheet System (ETS) Business Analysis

Portfolio Description

Background and History

Allteck is part of the Quanta Services group of companies, North America’s largest provider of infrastructure services for the Electric Power and Oil & Gas Industries. Since joining Quanta in 2001, Allteck has provided highly specialized Electric Transmission and Distribution services to clients in industries including utility providers, oil and gas, mining operations and solar & wind power generation.

The Problem

Allteck’s current systems and processes for collecting timesheet data, reviewing it, entering it into the back-end financial system (JDE), and reporting on the data were inefficient and outdated. Time was wasted in trying to send a timesheet from the person who enters the data to the next people down the line who review and approve the data.

Their challenges were:

  • Outdated timesheet processes were a time waster
  • Not enough data was being captured to allow for early indicators or future estimates
  • Paper-based process made it difficult to lookup and report on timesheet data

Our Solution

Allteck’s executive team had given full sponsorship to a project to implement a standard Electronic Timesheet System which would collect timesheet data from a wide range of devices across all areas of the company, streamline the review and approval of this data, integrate with JDE, and provide better reporting. Spot Solutions was engaged to lead the process of requirements gathering to identify and prioritize the features and functionality of the proposed software.

The Impact

Allteck now have a comprehensive analysis of their current state, future state, and a list of requirements that a new timesheet system must meet.

Now they can:

  • Use the list of requirements to procure a new timesheet system
  • Transform their business processes to be more efficient
  • Access timesheet information for future reporting and estimating
