Hello everyone and welcome to today’s tutorial on creating a list in SharePoint online. You can create and share lists that help you track issues, assets, routines, contacts, inventory and more. You can create a list from a template, an Excel file or from scratch. Whether you’re new to SharePoint or looking to improve your skills, this video will help you get comfortable creating lists. Let’s get started.
Let’s first create a list from a template. Here we are on our SharePoint site. To begin, select new, list. Here you can see several templates that Microsoft provides you with. We’re going to take a look at the issue tracker.
You can see the columns that are included and you can also read the summary and the features. So let’s click on use template. Enter a name for your list, an optional description. Leave it checked to show in site navigation and click on create. Once you’ve created a new list, select add new item.
Here you can enter the fields describing your issue. Don’t forget to click on save when you’re done. You can assign a priority, status, assign the issue to someone, relate it to another issue, and attach files. Click on save and you can see the issue in the list. When creating a Microsoft list, you can save time by importing an existing Excel spreadsheet.
This method converts the table headings to columns in the list and the rest of the data is imported as list items. Select new list. Select from Excel. Click on upload file. If the upload file button is grayed out, you don’t have permission to create a list from a spreadsheet and will need to contact your organization’s site admin.
Once you’ve uploaded the file, It will show you the columns and you should check each of them to make sure that they’re the data type that you want. We’re going to choose the location and change it to a choice column. We’ll also do the same to the onboarding session completed column. And we’ll change the last column to a date and time. Click on next.
Add a name for your new list, and you can give it a description if you want to. It’s optional. So I’ll need to give it a different name because this list name already exists. Click on create. And you can add a new item.
Something to note is that the spreadsheet that you are importing needs to be formatted as a table, and you can use tables with up to 5,000 rows to create a list. And finally, we’re going to create a list from scratch. Click on new, list. Select blank list. Give your list a name and a description, which is optional.
So we’re creating an inventory of the meeting rooms, so we’re going to create a number of columns. Click on the add column button, and we’re going to pick choice. Click on next. Give it a name and a description, and change the values of the choices. Click on save.
Click on add another column. We’re going to choose text for the room number. Add another column. I’m going to select number for the number of people who can fit in the room. And we don’t want any decimal places so we’re going to change that from automatic to zero.
And the last column we’re going to create is for the equipment and it’ll be a choice. And if you click on more options, you can allow people to make multiple selections. So meeting room could have a number of different equipment in it. Click on save. And now I don’t want title column to appear here, so I’m going to click on it.
Column settings, hide this column. Now I can add a new item. I want to change I don’t want the title to appear here, so I’m going to edit the columns and deselect it. Fill in the values. And I can select multiple items and click on the check mark.
And click save. And that’s it. You now have a solid understanding of how to create a list in SharePoint online from a template, from Excel, and from scratch. Thanks for watching.
